Charter bus and motor coach service in six states
AA Limousine provides charter bus and motor coach service for groups of 35 to 56 passengers across New York, New Jersey, Washington DC, Maryland, Virginia and Texas: full-size motor coaches, executive coaches and mid-size coaches, driven by commercially licensed professional drivers, with flat all-inclusive rates and 24/7 dispatch.
Every charter bus rental is supplied with a driver. Self-drive hire does not exist for this vehicle class: a motor coach requires a commercial licence with a passenger endorsement.

The motor coach is the most cost-efficient vehicle in group transportation. Moving fifty people in one coach costs a fraction of moving them in ten cars, removes fifty parking spaces from the problem, and gets everyone to the same place at the same time. For conferences, school programs, athletics and large weddings, it is not a luxury: it is the only arrangement that works.
A great deal of our charter bus work is recurring or program-based: a four-day convention shuttle, a season of team travel, an annual meeting, a university route. See our bus charter service.
Request a charter bus quote online or call dispatch. Coaches are the longest-lead vehicle in the fleet: convention weeks, graduation season and peak wedding Saturdays should be booked months ahead.
Charter bus for corporate events and conferences
The largest category of coach work we handle: annual meetings, sales kickoffs, leadership offsites, product launches and incentive programs, where several hundred people have to be in the same room at the same time.
- Continuous hotel-to-venue shuttle loops running to a published timetable
- Staged arrivals and departures around session start and close
- Offsite dinner and evening program runs
- On-site coordinator when volume justifies it, with vehicle tracking for the planner
- Route signage in the windscreen and rider-facing schedules
- Executive sedans and SUVs running alongside the loop for speakers and VIPs
- Consolidated invoicing by event code through an AA Transportation account
Corporate programs are quoted as a package rather than by the hour, which is almost always cheaper than booking the same vehicle-hours piecemeal. Our conference shuttle planning checklist walks through the setup.
Charter bus for employee and campus shuttles
Recurring contract routes: park-and-ride from a remote lot, transit-station connectors, inter-building campus loops and shift-change runs.
- Daily, weekly or seasonal contracts with fixed routes and timetables
- Dedicated coach and regular driver so riders see the same face
- Backup vehicle dispatched automatically if a scheduled run is at risk
- Monthly invoicing with cost-code tagging
- Route changes handled by a named account coordinator
Charter bus for airport group transfers
When forty or fifty people land together, the luggage is the problem a coach solves. Under-floor bays take a full group's checked bags without a second vehicle.
- Flight tracked in real time; pickup adjusts to the actual arrival
- Staged pickups for split arrivals rather than one coach waiting for stragglers
- Meet-and-greet at baggage claim with a group coordinator on larger movements
- Oversized-vehicle staging pre-planned at every airport we serve
- Cruise terminal transfers at Manhattan, Cape Liberty, Baltimore, Norfolk and Galveston
For smaller parties, our sedan service covers one to three travelers, an SUV four to seven, a Sprinter ten to fifteen, and a mini bus up to thirty. See also how we handle group airport arrivals.
Charter bus for weddings
Guest shuttles between hotel block, ceremony and reception, and late-night return runs so guests can drink and still get home safely. A coach moves the entire guest list in one or two passes instead of a dozen cars circling for parking.
- Shuttle loops or fixed-time runs built with you or your planner
- Every address confirmed a week out; vehicles dispatched early rather than on time
- Certificates of insurance issued directly to venues that require them
- Paired with sedans and stretch limousines for the wedding party through AA Limo
- Out-of-town guest transfers from the airport on the Friday
Charter bus for schools, universities and teams
Schools and field trips. Day field trips, museum and monument visits, outdoor-education programs and inter-school travel. Drivers on school programs clear the background screening districts require, and documentation is supplied in advance.
- Driver screening and licensing documentation provided before the trip
- Vehicle inspection records available to the district on request
- Multi-vehicle coordination for full-grade movements
- Chaperone seating planned into the manifest
- Fixed quotes that school finance offices can approve as a single line item
Universities and athletics. Admissions weekends, move-in days, campus tours, study trips, Greek life events and inter-campus connectors, plus athletics travel for teams, bands and supporters. A&A Limousine & Bus Service handles single trips and full-season contracts.
Sports teams. Squad in the cabin, kit in the bays. Multi-day and multi-city schedules are quoted as a package, with the same driver assigned across the program wherever duty hours allow. Overnight travel, early departures and tight turnarounds are routine work. More in our guide to school, church and sports trips.
Charter bus for church, community and senior groups
Congregation outings, retreats, conventions, youth programs and community trips. These are among the most frequent recurring bookings we take, and the ones where a fixed, all-inclusive quote matters most to a volunteer organizer working against a committee budget.
Retirement-community outings, assisted-living programs and senior center day trips run the same way. If anyone in the group needs mobility assistance, tell us at the quote stage so we can confirm the right vehicle in writing.
Charter bus for tours, trips and events
Tours and sightseeing. Monument and museum circuits in DC, Manhattan loops, Colonial Williamsburg, the Inner Harbor and Annapolis, Gettysburg and Texas Hill Country. PA system on board for guides, and the driver handles routing and drop-off points.
Multi-day tours and group trips. Multi-day itineraries with overnight stops: college tours, heritage trips, choir and band tours, and group vacations. Quoted as a program covering vehicle, driver, driver lodging and daily mileage, with rest periods built in to meet federal duty-hour rules.
Casino trips and day excursions. Atlantic City, MGM National Harbor, Maryland Live! and Charles Town, plus beach, outlet, orchard and ski-town days. Flat-rate round trips with a set return time, run regularly for social clubs and community groups by A and A Transportation.
Government, military and institutional groups. Agency programs, delegation movements, base transport and institutional travel, with the documentation, insurance certificates and vetted drivers these contracts require.
Production crews and touring groups. Film and television crews, touring musicians and festival production teams moving people and cases between locations. Overnight and multi-week programs with dedicated vehicles and drivers.
Sporting events and fan travel. Supporter groups traveling to games, tailgate programs and championship trips. A&A Transport sets a post-event pickup point clear of the traffic and sends it to every passenger in advance.
Types of charter bus and motor coach
"Charter bus" and "motor coach" are used interchangeably, but the vehicles behind them vary a great deal. The right one depends on headcount, luggage, route length and venue access.
| Type | Passengers | Restroom | Luggage bays | Best for |
|---|---|---|---|---|
| Full-size motor coach | 54–56 | Yes | Full under-floor | Large groups, long distance, conventions |
| Executive coach | 40–50 | Yes | Full under-floor | Corporate travel, VIP groups, incentive trips |
| Mid-size coach | 35–40 | Usually | Partial | Mid-size groups, regional travel |
| Mini coach | 25–30 | Sometimes | Under-floor | Tight access, smaller groups, shuttle loops |
Full-size motor coach
The standard of the industry: roughly 45 feet long, 54 to 56 reclining seats, onboard restroom, climate control, overhead parcel racks and under-floor luggage bays that take a full group's checked bags.
This is the vehicle for conventions, large weddings, school movements and any journey over an hour. Per passenger it is the cheapest way to move a large group, and it is the only configuration that reliably takes fifty-plus people and their luggage in one vehicle.
Executive coach
An executive coach trades seat count for space: forty to fifty wider seats with more pitch, upgraded upholstery, work tables on some builds, Wi-Fi and power at every seat, better sound insulation and often a refreshment area.
Booked for executive groups, board and investor travel, incentive programs and VIP movements where the journey is part of the experience rather than just transport. It is also the right call for long corporate transfers where people need to work en route.
Mid-size coach
Thirty-five to forty seats with coach-grade seating and luggage capacity. The practical middle ground for regional travel and mid-size groups where a 56-seater would run half empty, and half-empty coaches still cost full price, so sizing down saves real money.
For groups under thirty, our mini bus fleet, including the 25 to 30-seat mini coach, reaches hotel porticos, campus loading zones and historic districts a full-size coach cannot. Compare the two in mini bus vs motor coach.
How many seats does a charter bus have?
A full-size charter bus seats 54 to 56 passengers.
| Group size | Vehicle we would send |
|---|---|
| 25–30 | Mini coach |
| 31–40 | Mid-size coach |
| 41–50 | Executive coach |
| 51–56 | Full-size motor coach |
| 57–112 | Two coaches |
How long is a charter bus? A full-size motor coach is roughly 45 feet long, around 8.5 feet wide and 11 to 12 feet high. Those numbers matter more than most clients expect: they determine which venue entrances, bridges, parking areas and residential streets a coach can physically use, which is why we check every stop before confirming a booking.
Luggage capacity
Under-floor bays on a full-size coach take a full passenger load's checked luggage, roughly one large case per seat, plus overhead racks inside for carry-ons. This is the single biggest practical difference between a coach and every smaller vehicle, and it is why airport groups, cruise transfers and multi-day tours go on a coach even when the headcount would fit in two mini buses.
List oversized items (sports equipment, instruments, production cases, trade-show materials) at the quote stage so we confirm bay capacity rather than discovering it at the curb.
Sizing guidance: a half-empty coach costs the same as a full one. If your headcount is 35, a mid-size coach is noticeably cheaper than a 56-seater. Tell A&A Limousine the real number and we will quote the right size rather than the biggest one available.
Onboard features
- Reclining high-back seats with adjustable footrests and armrests
- Onboard restroom on full-size and most mid-size coaches
- Individual climate control, reading lights and air vents
- Power outlets and USB charging at seats on most coaches
- Wi-Fi available on request; confirm at the quote stage
- Overhead parcel racks and under-floor luggage bays
- PA system and microphone for guides, chaperones and event staff
- Flat screens and media playback on selected coaches
- Panoramic tinted windows
- Luggage tagging and loading assistance from the driver
On restrooms. Full-size motor coaches have one. If your route has few natural stops (a long interstate transfer, a multi-hour tour, a group with older passengers) specify it when you book and we will confirm in writing which vehicle provides it.
On Wi-Fi and outlets. Both are common but not universal across every coach in every market. If your group needs to work en route, say so at the quote stage and the vehicle will be assigned accordingly rather than assumed.

Charter bus rental rates and booking terms
Coach pricing works differently from every other vehicle class, so it is worth understanding before you compare quotes.
- Daily rate. Most charter bus work is quoted as a day rate covering a set number of hours and miles. This is standard for school trips, weddings, tours and single-day group movements.
- Hourly with a minimum. Short local work and shuttle loops are quoted hourly with a minimum block, typically four to five hours.
- Program or contract rate. Multi-day tours, convention shuttles and recurring routes are quoted as a package covering the whole program. For anything repeating, this is noticeably cheaper than booking the same vehicle-hours separately, so ask for it.
What drives the price
- Vehicle size: a 56-seater costs more than a 35-seater, and a half-empty coach costs the same as a full one. Size down if you can.
- Hours and mileage: day rates include a mileage allowance; beyond it, additional miles are charged at a published rate.
- Date: convention weeks, graduation season, major holidays and peak wedding Saturdays price highest and sell out earliest.
- Overnight work: multi-day trips include driver lodging and meals, which is a real line item and one that dishonest quotes leave out until later.
- Duty hours: a schedule that exceeds federal driving limits requires a second driver, which changes the quote. We will tell you this at the quote stage rather than on day three.
Included in every quote: vehicle, driver, fuel, tolls, standard parking, airport fees and gratuity. Nothing is added after the confirmation you agreed to.
- Deposit: required to hold the date, with the balance due before departure. Program and contract accounts are invoiced monthly.
- Cancellation: terms scale with the booking. Standard single-day charters cancel free up to a set window stated in writing; multi-day and multi-vehicle programs carry longer terms. Airline-caused cancellations are never charged.
- Payment: all major credit cards, ACH, corporate cards, purchase orders and direct invoicing for schools, universities, government and established corporate accounts.
Safety, compliance and policies
- Driver licensing. Every driver holds a commercial driver's licence with a passenger endorsement and current medical certification, and clears a national criminal background check, motor vehicle record review and DOT-standard drug and alcohol screening. Documentation is supplied in advance for school, university, government and corporate programs.
- Inspection and maintenance. Vehicles are inspected on a regular schedule, with tires, brakes and safety systems checked on a calendar, not after a failure.
- Driven service only. Charter buses cannot be hired for self-drive; the licensing and endorsement requirements make it impossible, so any offer of a self-drive coach should be treated as a warning sign.
- Hours of service. Drivers are governed by federal duty-time limits, with hard caps on daily driving hours and required rest periods. On long days and multi-day programs we either build in the required rest or assign a second driver. An itinerary that cannot legally be driven will be flagged at the quote stage, and we will propose one that works.
- Capacity. The passenger limit is a legal limit. A driver will not depart with an overloaded vehicle.
- Alcohol. Permitted on adult charters where state law allows and the client requests it. Never permitted on school, student or under-21 programs, and enforced by the driver without exception.
- Smoking and vaping. Not permitted on any vehicle. Cleaning charges apply.
- Tipping. Standard gratuity is included in your quote. Anything further is at your discretion and goes directly to the driver.
- Access. Some venues, campuses and residential streets cannot take a 45-foot vehicle. A&A Limo Service checks every stop before confirming and proposes a staging point nearby rather than letting you discover the problem on the day.
A word on brokers
Much of what ranks for "charter bus rental" online is brokerage. A broker takes your booking and subcontracts it to an operator you never chose, sometimes days before travel, and is not accountable for the vehicle or the driver. It is legal and sometimes fine, but you should know which you are buying. Ask any company: do you own the vehicle, who is the driver, and what exactly does the quote include? A&A Bus answers all three without hesitating.
Where we operate
New York charter bus rental
Manhattan, Brooklyn, Queens, the Bronx, Staten Island, Long Island, Westchester and the Hudson Valley. Convention and corporate programs, university movements, UN General Assembly week logistics and group tours make up most of the volume for A&A Limo. Manhattan coach access is tightly restricted, so staging points and permitted loading zones are planned at the quote stage, not on the day. New York service area
New Jersey charter bus rental
Newark, Jersey City, Hoboken, Princeton, Edison, Paramus, Morristown, Cherry Hill and the Shore. Pharmaceutical and financial corridor programs, Atlantic City group trips, Shore weddings and Cape Liberty cruise transfers keep A&A Limo Service running coaches across the week. New Jersey service area
Washington, DC charter bus rental
The District and the wider DMV. Association conventions, federal and agency programs, embassy delegations, school and university trips, and monument tour circuits are core work for A & A Limousine Service. Several downtown corridors and security perimeters restrict coaches; permitted drop-off points are confirmed before you finalise a venue. Washington DC service area
Maryland charter bus rental
Baltimore City and County, Bethesda, Rockville, Silver Spring, Columbia, Annapolis, Frederick and Towson. School districts, Naval Academy weekends, medical campuses, Preakness and Eastern Shore group travel are regular bookings for A and A Metro clients. Maryland service area
Virginia charter bus rental
Arlington, Alexandria, Tysons, McLean, Reston, Fairfax, Loudoun, Richmond, Charlottesville, Norfolk and Virginia Beach. Government contractor programs in Northern Virginia, state business in Richmond, university travel in Charlottesville, Colonial Williamsburg tours and Loudoun wine-country groups fill the calendar for A & A Limo. Virginia service area
Texas charter bus rental
Houston, Dallas, Fort Worth, Plano, Frisco, Irving, The Woodlands, Sugar Land, Austin, Round Rock and San Antonio. Energy-sector programs in Houston, tech and conference travel in Austin, and a heavy convention and game-day calendar give A and A Transportation steady coach volume across the state. - Employed drivers: CDL with passenger endorsement, medical certification, background check, MVR review and DOT screening

- 24/7 live dispatch: a person on the phone at any hour, not an app queue
What you get in writing before you pay

One company, every vehicle class
Most group clients need more than one vehicle size across a program. A&A Limousine Service runs the full range on one booking and one invoice:
| Passengers | Vehicle |
|---|---|
| 1–3 | Mercedes-Benz S-Class or Lincoln Continental sedan |
| 4–7 | Cadillac Escalade, Chevrolet Suburban or Lincoln Navigator |
| 10–15 | Mercedes-Benz Sprinter |
| 18–30 | Mini buses and mini coaches |
| 8–40 | Stretch and Hummer limousines, party buses |
| 35–56 | Charter buses and motor coaches |
Clients who first called A Limousines for a single airport sedan, or A&A Transport for one field trip, now run multi-vehicle convention programs through the same account.
How to book a charter bus
- Send your date, headcount, luggage and itinerary. Every pickup and drop-off address, timings, and whether anyone needs mobility assistance. On multi-day work, include the overnight locations.
- We confirm coach type, capacity and access, including whether each stop can take a 45-foot vehicle, whether the schedule fits federal duty hours, and whether a second driver is needed.
- You receive the quote in writing. All-inclusive, with driver lodging on overnight work, deposit and cancellation terms, and insurance documentation on request.
- Driver details arrive before departure. Name, mobile number, vehicle information and live tracking. On programs, the same driver is assigned wherever duty hours allow.
Lead times: single-day charters 2–4 weeks · weddings and events 3–6 months · convention and conference programs 2–6 months · school and university trips 4–8 weeks · multi-day tours 3–6 months · graduation season, convention weeks and peak wedding Saturdays as early as possible.
Coaches are the longest-lead vehicle class in group transportation, and the supply in any market is finite. Short-notice requests are still worth a call to A&A Transportation: we can often place a coach the same week.
Request a charter bus quote
Send your date, headcount, luggage and full itinerary and you will receive coach availability, the configuration we recommend and an all-inclusive price in writing, including driver lodging on multi-day work, so there is nothing to discover later. Book online at aalimousines.com, call dispatch (staffed 24/7, including holidays), or email to set up a convention program, school account or recurring shuttle contract. If a coach is larger than your group needs, we will tell you which vehicle fits before you book.
